Is this correct if a new GL account or a new reporting unit (cost
center,dept, etc.) is created in GP. One must manually update all the FRx
reports to reflect the accounts.

Yes, if you are not able to use ranges on your report rows, columns or
trees, then you have to manually update reports. Typically, when you're
talking about departments or cost centers, they are individual levels in
your tree, so adding a new one would necessitate manually adding a new row
to the tree. In my experience, there are several things that typically help
in situations where cost centers and departments are added frequently:
a) Try to make all your row formats have natural account ranges only, so you
don't have to really ever worry about revisiting all your row formats.
b) Try to minimize the number of trees you have, so you don't have to change
20 trees every time something is added.
c) Keep good notes on the specifics of your reports.

Can you recommend any other tool that will do this. (Crystal, SRS, etc)
One of the biggest disappointment I am finding about GP is that it cannot
deliver an out of the box report that will generate a simple P and L (list
all accounts), without doing major setup and maintenance.

Ideally I would like to see a Mask where you can type in 01 XX XX XXXX.
This will generate a report for dept 01 and include all accounts
automatically.

FRx will do this.

Create one line on your row format with the Link to GL (column H) as
01-??-??-????. Export it to Excel with account detail. It will list all of
the accounts starting with 01, one line per account with a balance. Or
print it to the screen and drill down on the one line - same thing.

It is VERY rare that I would recommend creating any financial statement in
Crystal or SRS, I would try to get what I need from FRx first. If it proves
completely impossible, only then would I consider Crystal or SRS.

Would this work for P and L as well. For example, today I want to run a
report for 01-?? ?? ????, but later I want to run it for 02 ?? ?? ???? and a
different person may want to run it for 03 10 ?? ????. etc.

The user will have to open the row for mat to m odify it every time they run
it? correct. Also, if I have 5 users running reports, they will all require a
user license for the designer?

For a P&L here is what I would do:

Let's assume that my P&L natural accounts (4th segment) are 4000 to 9999 and
I have 3 departments (1st segment) 01, 02 and 03.

I would create a row format with one line:

4000 TO 9999 (in column H)

The I would create a tree:

Department 01 01-??-??-&&&&
Department 02 02-??-??-&&&&
Department 03 03-??-??-&&&&

This way, users do not need to change the actual report (I am not a big fan
of that idea anyway) and do not need to have Designer, they can run the
report from the Report Launcher and just pick their Department as they need
to.

I set up a single row format for revenue with my obect as 4000 to 4999
I set a second row format for expenses with my object 5000 to 9999

Then I created the reporting trees.

The problem I am running into is it sums all the accounts in the range and
gives me a single number. There fore my report has only 2 rows. Total revenue
and total expenses. I would like the gl codes to be listed individually.

Ok....if you set up your report detail level to be Financial & Account you
can now double click (drill down) on either of those 2 numbers and you'll
see the detailed GL codes for that particular total. It makes it a little
more difficult with 2 rows, since in the drilldown viewer you can only drill
down on one of them at a time. However, if you export this to Excel and
chose to export with Detail, you'll get a separate tab in Excel with all the
accounts and 2 subtotals, one for revenues, the other for expenses.

Thank you Victoria,

I was afraid you were going to say that. I am on a qwest to search for a
simple interface - where the user just types the Mask and a report is
presented to them. If it is revenue and expense then there will be subtotal
at the end of all revenue accounts, then expense accounts with a net income.
To many users in the public sector this is sufficient as I am interested in
comparing my actual vs. budget balances for each line item. For more complex
reports or "boardroom quality" reports, they can use all the bells and
whistles of Frx.

The suggestion you mentioned does work but we will not be able to see both
the reve and exp at the same time, but it is definitely the best solution
without having to worry if a new gl account has been added.

I recently heard about Jet Reports and I will see if it is possible to
accomplish this using Jet reports or if it is possible in SRS or Crystal.

Just one other thing to mention on this subject.

You can also consider creating a set of Account Sets (collection of
accounts) for all of your reports. This way if a new account is created, and
it is a Cash account for example, then you would just enter the new account
into the Cash account set. Then any reports that use the Cash account set in
the row format will now include the new account.

This makes it so you only have to make one change to the account set and all
reports will be modified.

For more information regarding account sets, do a search in the online help
within the product.

FRx will do this.
Create one line on your row format with the Link to GL (column H) as
01-??-??-????. Export it to Excel with account detail. It will list
all
of
the accounts starting with 01, one line per account with a balance.
Or
print it to the screen and drill down on the one line - same thing.
It is VERY rare that I would recommend creating any financial
statement
in
Crystal or SRS, I would try to get what I need from FRx first. If it
proves
completely impossible, only then would I consider Crystal or SRS.

One of the biggest disappointment I am finding about GP is that it
cannot
deliver an out of the box report that will generate a simple P and L
(list
all accounts), without doing major setup and maintenance.
Ideally I would like to see a Mask where you can type in 01 XX XX
XXXX.
This will generate a report for dept 01 and include all accounts
automatically.

Yes, if you are not able to use ranges on your report rows, columns
or
trees, then you have to manually update reports. Typically, when
you're
talking about departments or cost centers, they are individual
levels
in
your tree, so adding a new one would necessitate manually adding a
new
row
to the tree. In my experience, there are several things that
typically
help
in situations where cost centers and departments are added
a) Try to make all your row formats have natural account ranges only,
so
you
don't have to really ever worry about revisiting all your row
formats.
b) Try to minimize the number of trees you have, so you don't have
to
change
20 trees every time something is added.
c) Keep good notes on the specifics of your reports.

I know Frx can do wonders for reporting, however, the lack of true
integration of Frx leaves a lot to be desired.
Is there a Frx developers program? Obviously Frx reads a "Range" of
accounts during drilldown and it will also list if any accounts are
"missing".

Just one other thing to mention on this subject.
You can also consider creating a set of Account Sets (collection of
accounts) for all of your reports. This way if a new account is created, and
it is a Cash account for example, then you would just enter the new account
into the Cash account set. Then any reports that use the Cash account set in
the row format will now include the new account.
This makes it so you only have to make one change to the account set and all
reports will be modified.
For more information regarding account sets, do a search in the online help
within the product.

I was afraid you were going to say that. I am on a qwest to search for a
simple interface - where the user just types the Mask and a report is
presented to them. If it is revenue and expense then there will be subtotal
at the end of all revenue accounts, then expense accounts with a net income.
To many users in the public sector this is sufficient as I am interested in
comparing my actual vs. budget balances for each line item. For more complex
reports or "boardroom quality" reports, they can use all the bells and
whistles of Frx.
The suggestion you mentioned does work but we will not be able to see both
the reve and exp at the same time, but it is definitely the best solution
without having to worry if a new gl account has been added.
I recently heard about Jet Reports and I will see if it is possible to
accomplish this using Jet reports or if it is possible in SRS or Crystal.

Ok....if you set up your report detail level to be Financial & Account you
can now double click (drill down) on either of those 2 numbers and you'll
see the detailed GL codes for that particular total. It makes it a little
more difficult with 2 rows, since in the drilldown viewer you can only drill
down on one of them at a time. However, if you export this to Excel and
chose to export with Detail, you'll get a separate tab in Excel with all the
accounts and 2 subtotals, one for revenues, the other for expenses.

I set up a single row format for revenue with my obect as 4000 to 4999
I set a second row format for expenses with my object 5000 to 9999
Then I created the reporting trees.
The problem I am running into is it sums all the accounts in the range and
gives me a single number. There fore my report has only 2 rows. Total revenue
and total expenses. I would like the gl codes to be listed individually.

I have 3 departments (1st segment) 01, 02 and 03.

Sorry for the delayed response.

There currently is not an FRx Developers program.

FRx does have a "Missing Account" exception report that can be added to the
report, if that helps.
You turn it on in the Catalog of Reports screen; Report Options tab,
Advanced sub-tab.
[Be aware that the exception report will slow down your report generation
time.]

You can view the exception report in the DrillDown Viewer by choosing View
from the menu bar and then selecting Exception Report.
